Last updated: 30 October 2026

This policy explains how SO Immigration Ltd collects, uses and protects your personal information when you use our website or our immigration services. We take the confidentiality of your information seriously, especially given the personal nature of immigration matters.

1. Who we are

SO Immigration Ltd (“SO Immigration”, “we”, “us”) is a UK immigration advice firm based at 117 Whitechapel Road, Third Floor, London E1 1DT. We are the controller of the personal information described in this policy. If you have any questions about it, or want to exercise your rights, email support@soimmigrationltd.co.uk.

2. The information we collect

Depending on how you deal with us, we may collect:

  • Contact details, such as your name, email address, phone number and postal address.
  • Enquiry details you give us through our consultation and contact forms, live chat, email or phone.
  • Information about your immigration matter, such as your nationality, passport and travel history, immigration history, family relationships, employment, education, finances and accommodation.
  • Sensitive information where it is relevant to your case, for example health information, information about religious or political beliefs in protection claims, or criminal convictions where good character must be assessed.
  • Identity and payment information needed for identity checks, billing and payment.
  • Newsletter details: the email address you give us when you subscribe to updates.
  • Job applications: your CV and the information you send us when you apply for a role.
  • Technical information, such as your IP address, browser and device type and the pages you visit, collected through server logs and cookies.

Most of this information comes from you. We may also receive information from people acting for you or connected to your matter, such as a sponsor, employer or family member, and from public sources or the authorities dealing with your case.

3. How we use your information

We only use your information where the law allows us to. We use it to:

  • answer your enquiry and arrange a consultation, because you have asked us to take these steps before instructing us, or because it is in our legitimate interests to respond;
  • provide immigration advice and representation, including preparing and submitting applications and appeals, to perform our contract with you;
  • carry out identity and anti-money laundering checks, keep proper records, handle complaints and meet our professional and regulatory obligations, because the law requires it;
  • send you our newsletter and immigration updates, where you have given your consent. You can unsubscribe at any time using the link in our emails or by contacting us;
  • consider your application if you apply for a job with us, to take steps before entering into an employment contract;
  • run, secure and improve our website, because it is in our legitimate interests to do so.

We use sensitive information and information about criminal convictions only where it is needed to give you advice, to make or defend a legal claim, or with your explicit consent, in line with the UK GDPR and the Data Protection Act 2018.

4. Who we share it with

We share your information only where it is needed for your matter, where you have agreed, or where the law requires it. This may include:

  • UK Visas and Immigration, the Home Office, HM Passport Office, visa application centres, courts and tribunals, when we act on your instructions;
  • barristers, translators, interpreters, experts and other professionals we instruct on your behalf;
  • your sponsor or employer, where your matter involves them and you have agreed;
  • service providers who support our business, such as website hosting, email, live chat, IT, document storage, payment processing, our professional advisers and insurers. They act on our instructions and must keep your information secure and confidential;
  • regulators, law enforcement and other authorities, where we are legally required to.

We do not sell your personal information.

5. International transfers

Some of our service providers, including our website host, store information outside the UK. Where this happens we make sure your information is protected by appropriate safeguards, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

6. How long we keep it

  • Enquiries that do not lead to instructions are normally kept for up to two years.
  • Client files are normally kept for at least six years after your matter ends, and longer where the law or our professional obligations require it, or where the file is likely to be needed for a future application such as settlement or citizenship.
  • Newsletter details are kept until you unsubscribe.
  • Job applications are kept for up to 12 months after the recruitment process ends, unless you join us.

When information is no longer needed, we delete it or destroy it securely.

7. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, or to restrict how we use it;
  • object to our use of your information where we rely on legitimate interests;
  • ask us to transfer information you have given us to another organisation;
  • withdraw your consent at any time, where we rely on consent.

Some of these rights are limited, for example where we must keep records by law or where information is legally privileged. To make a request, email support@soimmigrationltd.co.uk. We will normally reply within one month and there is usually no charge.

8. Cookies

Our website uses a small number of cookies. Some are needed for the site to work and to keep it secure. Our live chat service also uses cookies to remember your conversation and show you messages from our team. You can block or delete cookies in your browser settings, but some features, such as live chat, may then stop working.

9. Keeping your information secure

We use encrypted connections, access controls and confidentiality obligations to protect your information. Email is not completely secure, so please ask us if you would prefer a more secure way to send us documents.

10. Complaints

If you are unhappy with how we have handled your information, please contact us first at support@soimmigrationltd.co.uk so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
